About Us
Welcome to Vadodara Tamil Sangam (VTS), a secular organization devoted to anyone in Vadodara and surrounding cities, who has interest in Tamil language and culture. Tamil people have organized activities in and around Vadodara for the past 30 years in the name of Baroda Tamil Sangam but experienced a lean period and ceased action. A formal Vadodara Tamil Sangam was formed in April 2017. VTS is a charitable Organization and are tax exempt under section ……..
The prime mission of VTS is the promotion and perpetuation of Tamil language and culture by organizing social and cultural events, celebrating major Tamil festivals, teaching Tamil language to children, participation in and sponsorship of charitable causes. Membership in the Tamil Sangam is open to anyone who has an interest in Tamil language and culture. Activities organized by the Sangam will enable our children to get exposed to Tamil language and culture. The Tamil Sangam will also enable Tamil people in Vadodara to come together and get to know each other better. Your contribution towards a membership in the Sangam will help us to go a long way in organizing varied programs of general interest to the Tamil community.
The “Membersof the Board” governs the Tamil Sangam; mainly involved in the process of policy making, planning and executing the Tamil Sangam activities.

Objectives of the Trust are :
- Encouraging and motivating the Tamil speaking people to stay united in cooperation.
- Helping newly arrived Tamil people in creating awareness on the practices and culture of Gujarat;
- Providing a friendly environment for Tamil speaking people at Gujarat by creating a platform for them to know and learn the languages Tamil, English, Hindi and Gujarati;
- Creating awareness on pursuing higher studies, opportunities and options available at Vadodara;
- Providing right mentorship and encouragement for new entrepreners, business initiatives at Vadodara bringing best outcome in thought and action for the mutual benefit of economy of Vadodara, establishment and survival of Tamil business initiaters;
- Providing a sophisticated family environment particularly during ailments, assisting and associating both financially and morally with the Tamil speaking families living at vadodara;
- Assisting in providing information for marriage among Tamils through Marriage Information Support Scheme. Promoting awareness in abolishing the practices such as dowry and others which supress the life of people in the name of tradition;
- Publishing and circulating any means of materials, magazines or books either in a conventional or digital form that may ease the society in gaining knowledge, attaining self esteem, confidence or any other positive benefits;
- Creating a facility or platform for Tamil cultural celebrations, where people can unite as a group and cherish the uniqueness of the nation that is “ Unity in Diversity”.
- Constructing libraries, old age homes, orphanages, medical centres, religious places of worship for the benefit of Tamil as well as Gujarati families;
- Promoting the social participation of the Tamil society by means of arranging blood donation, eye checkup camps, basic medical checkup, dentistry camp and others for the benefit of Tamil as well as local people.
- Creating platform for establishing and maintaining religious places of worship, tradition, museum, art centres and others.
- Support mitigating natural or social disasters, relief and rehabilitation for the Tamil society
- Encourage the celebration of traditional national or local festivals in one accord with the local community with high level of participation;
- Providing counsel for any Tamil speaking individual if found possessing any activity against the rules of the local;
- Providing legal support for Tamil speaking at individual, family and community level whenever necssary.
Membership:
Any brother or sister of Tamil Society having age of more than 21 (Twenty-One) years can be member of society paying following fee. Life Time Membership Fee. Rs. 1999.00 (Rs.One thousand Nine hundred ninety nine only) and paying such amount such person can be life time member and Annual Membership fee Rs.999.00 (Rs.Nine hundred ninety nine only)
Managing Committee:
To meet with the objects of institute, in first General meeting Managing Committee will be formed and there will be minimum 07 (seven) members and maximum 11 (Eleven) members in Managing Committee. Duration of Trustees of Managing Committee will be of 5 (Five) years. Due to any reason like death or resignation if any place of trustee is vacated then in such vacant place or on remaining place, all the remaining trustee can appoint any proper person from life time members passing resolution of majority trustee for remaining period and on completion of time limit also in General Meeting with majority, Managing committee will be appointed from life time members. Managing Committee will appoint designators from themselves like President, Vice-President, General Secretary, Secretary and Treasurer, Auditor, Co-auditor.
Designators:
- Rights and Duties of President:
President of Trust will take place of President in meeting of Managing Committee. President will call meeting of Managing Committee and keep note of acts of Managing Committee in resolution book and give instruction to General secretary and give information of meeting of Managing Committee with date, time and place with Agenda to all members of Managing Committee before days-7 or inform them by post and in the interest and protection of trust, he will sign as authorized signatures on agreement, documents, suit etc and necessary papers and he will have to get annual accounts approved in the meeting of Managing Committee.
- If any naught arises in meeting the he will have right to caste casting vote as he deems fit and proper.
- For the work of trust, he will appoint proper and qualified employee and also appoint honorary employee
- If this trust is misused in such event he can get legal advice.
- He can do all fruitful acts which are found in vast interest of institute.
- Rights and Duties of Vice President:
In absence of President, the Vice – president will enjoy all rights and perform all duties of President.
- Rights and Duty of General Secretary:
- General Secretary will note of proceeding in meeting of Managing Committee in separate resolution book as per instruction of President.
- He will do all proceeding handed over to him by Managing committee through resolution
- He will call General Meeting of institute and send message of meeting and Agenda of meeting to every member before 7-days by post or sending Notice in presence.
- Do all correspondence of institute.
- Prepare annual report as per rules and regulations.
- On completion of resolution book, he will put his signature and get signature of President with him.
- Right and Duties of Secretary:
In absence of General Secretary, the Secretary will perform all his duty and enjoy all his rights.
- Rights and Duties of Treasurer:
- It is the duty of Treasurer to open bank account with joint signature of designators authorized by Managing Committee through resolution in the name of Institute and do transaction.
- To prepare all accounts of financial transactions and maintain accounts of trust.
- To meet with necessary expenses for the objects of trust, he can keep Rs. 2500/- on hand or any amount as may be decided by Managing committee through resolution.
- He will maintain all books of account of institute and get annual accounts of institute audited and get them approved and submit in General Meeting.
- He will submit audited accounts of trust in the office of Registration office of Public Trusts.
- He will accepts amount of all nature in the name of trust on behalf of trust and deposit them in account of Trust and give its receipt.
- Rights and Duties of Auditor Shri:
He will look after the accounts prepared by Treasurer of his duty and enjoy all his rights.
- He will give all prepared accounts of trust to Auditor Shri to be audited and work as per his instruction and advice.

- Work-field of General Meeting:
The meeting of all members registered in trust will be considered as General Meeting. Before calling meeting of General Meeting, the notice is to be given at least before three days or information is to be given personally and the work of General Meeting will be taken on hand as per it. If any meeting is postponed due to lack of Koram then the said meeting can be called on the same place after half hour. And information of such meeting will not be given and Koram of meeting will be attendance of 1/3rd members. The work of General Meeting will approve annual report and income and expenditure and Balance Sheet and appoint Auditor and form necessary rules for trust and make necessary change or alter such Law ad cancel such law and appoint Managing Committee on completion of duration.
- Financial Transaction:
Managing committee will from time to time pass resolution and do transaction of trust with joint signature of trustees as may be resolved in Managing Committee in which there will be President and other Trustee will sign on any transaction.
- Accounts :
The accounts of trust are to be maintained properly as per rules and get them approved every year in the meeting of Managing Committee and submit them in the office of Charity Commissioner Shri.
- Accounting year:
Accounting year of trust will commence from 1st April and ends on 31st March.
- Sources of Income:
Donation, Membership fee, gift, interest, Grants of Government and Semi-government offices, Charity Show and cultural programme and income of such programme will be considered as source of income of trust.
- Sub - Rules:
Managing Committee frame sub-rules through resolution
following provisions of the Bombay Public Trust Act and following provisions of this constitution for the objects of trust and can change such rule or cancel any rule. - Sub - Committee:
To meet with the objects of trust and for any prescribed work Sub-committee can be formed and the member of such sub committee will be considered as Trustee.
- Meeting of Managing Committee:
Meeting of managing committee will be held at least once in every six month and the information of such meeting will be given to members of Managing Committee at least before three days. All the resolutions instructed by president will be taken through resolution of majority in meeting of Managing Committee.
- Minute Book:
The General Secretary will have to make note of all proceeding done in meeting of Managing Committee and General Meeting in minute book as per instruction of President.
- Properties of Trust:
All present movable and immovable properties of trust
and then after all new properties acquired by trust from time to time will be considered as properties of trust and will be and the said properties can be transferred or mortgaged. - Regarding to acquire Trust properties :
The properties of Trust can be acquired in the name of Trust by Managing Committee which is continue and all the management and administration of all properties will be done following this constitution by Managing Committee.
- Right to appoint Employee:
For subjective work of Managing Committee, through resolution of majority, employee can be appointed and wages, honorary salary will be decided and through resolution such employee can be released in the interest of Trust And also decide conditions of appointment of employee.

Regarding dissolution of Trust :
If all the trustee unanimously decide to dissolve the trust in future than it can be done through trustee and after completion of all acts as per rule, all the properties will be handed over to such trust having equal objects and then after the said trust can be dissolved.
